5 Mistakes That Get U.S. Document Consular Legalization Rejected
Many people lose weeks over small mistakes when legalizing U.S. documents. Here are the 5 most common errors — and how to do each step in the right order so your file isn't rejected.

Consular legalization sounds simple, but it's where many people lose weeks, even months over a single step that gets skipped. Below are the 5 most common mistakes VietVisas sees every day — and how to avoid them.
Mistake 1: Assuming an Apostille is enough
Many people think that once they have an Apostille, they're done. In reality, Vietnam still requires a separate consular legalization at a Vietnamese representative office, on top of the Apostille step.
Mistake 2: Only notarizing, without an Apostille
A notary's certification has no international validity without an Apostille. These are two different steps, and one does not replace the other.
Mistake 3: Doing the steps out of order
The correct order is: Notary → Apostille → Consular legalization → Translation. Doing the steps out of sequence usually means starting over from the beginning.
Mistake 4: Incorrect information on the document
A wrong name, wrong date of birth, or details that don't match your passport — even one small error is enough to get a file returned. Double-check everything carefully before submitting.
Mistake 5: Waiting until you're back in Vietnam
The Apostille must be done in the U.S. If you carry your documents back to Vietnam and only then discover something is missing, you'll have to ship them back to the U.S. — costing you both time and money.
The golden rule
Follow the correct order, prepare your information carefully, and don't skip the consular step. If you're not sure, have your file reviewed before you begin so you don't have to redo it.
